How to Download and Install Microsoft Office Free Guide
Word, Excel, PowerPoint, and Outlook — the industry-standard office suite. This guide covers buying, downloading, installing, and activating it safely, plus the genuinely free alternatives.
Visit Official Site →Is Microsoft Office Free?
No. Microsoft Office is commercial software. There is no free download of the desktop applications, and any site offering a "free Microsoft Office download" is distributing either pirated software, a limited trial, or malware. This is the single most important thing to understand before following any Office guide.
There are, however, three legitimate ways to use Office without paying full price:
- Office on the web (free). Browser-based versions of Word, Excel, PowerPoint, and OneNote at microsoft365.com. Free with a Microsoft account, cover most everyday editing, but lack advanced features and work only while online.
- Microsoft 365 subscription. Paid subscription that includes the full desktop apps, OneDrive storage, Copilot, Microsoft Defender, Designer, Clipchamp, and regular feature updates.
- Office Home 2024 (perpetual licence). One-time purchase including Word, Excel, PowerPoint, and OneNote — but no cloud storage, Copilot, or ongoing feature updates.
If your goal is simply to edit documents for free, see the free alternatives section below — LibreOffice is a full desktop suite with no cost and no account.
Microsoft 365 Pricing (2026)
Prices vary by region and change periodically. These are the current US list prices for consumer plans (checked October 2026):
- Microsoft 365 Basic — $1.99/month or $19.99/year. 100 GB of OneDrive storage. Does not include the desktop Office apps — this is a storage and email plan.
- Microsoft 365 Personal — $9.99/month or $99.99/year. For one person, includes the desktop apps and 1 TB of cloud storage.
- Microsoft 365 Family — $12.99/month or $129.99/year. For 1 to 6 people, each with their own account.
- Microsoft 365 Premium — $19.99/month or $199.99/year. Everything in Family, plus Copilot in Word, Excel, PowerPoint, and Outlook; Microsoft Defender security; Clipchamp video editing; and Designer AI image tools.
OneDrive storage change: Effective 8 October 2026, new Family and Premium subscriptions include a shared 2 TB OneDrive pool for all members, rather than 1 TB per person (previously up to 6 TB total). Existing subscribers move to the shared pool at their first renewal on or after 2 May 2027, and prices have not been reduced to match. Files remain private even though the quota is shared. Microsoft 365 Pro includes a 5 TB shared pool.
Business, education, and enterprise plans are priced separately and are outside the scope of this guide.
System Requirements
- Windows OS: Windows 11 or Windows 10. For server installations, Windows Server 2025 or Windows Server 2022.
- macOS: macOS 14 (Sonoma) or later for new installs and updates. Microsoft supports the three most recent major versions — currently macOS 27 (Golden Gate), 26 (Tahoe), and 15 (Sequoia). Ventura (13) receives no security updates, and Monterey (12) and earlier are unsupported. Both Intel and Apple Silicon Macs are supported.
- Processor: 1.6 GHz or faster, 2-core. A 2 GHz or faster processor is recommended if you use Skype for Business.
- RAM: 4 GB.
- Storage: 4 GB available on Windows; 10 GB on macOS (HFS+ or APFS).
- Display: 1280×768 on Windows, 1280×800 on macOS.
- Graphics: DirectX 9 or later with WDDM 2.0 for hardware acceleration on Windows. macOS has no graphics requirement.
- Internet: Required for installation, activation, and updates.
How to Download and Install Microsoft Office
- Confirm you have a licence. Sign in to account.microsoft.com/services and check that your Microsoft 365 subscription or Office purchase is listed. If you bought a product key and have never installed Office, redeem the key and associate it with your Microsoft account first — the installer will not appear until you do.
- Go to the official Apps page. Open m365.cloud.microsoft/apps and sign in with the same Microsoft account used for the purchase.
- Click "Install apps". The button is in the upper-right corner. If a menu appears, choose Microsoft 365 apps, then Install.
- Run the installer. Open the downloaded file. Depending on your browser, it may be called Run, Setup, or a saved file you need to open. Approve the Windows permission prompt and wait for the "You're all set! Office is installed now" message, then click Close.
- Activate it. Open Word or Excel from the Start menu, accept the licence agreement, and sign in with the same Microsoft account. Your subscription activates the apps automatically — no product key entry is needed for a subscription.
Installing Office on a PC Without Internet
If the target PC has no internet connection, you need the offline installer rather than the streaming one:
- Consumer and small-business subscriptions: On a PC with internet, go to account.microsoft.com/services, sign in, and choose Install desktop versions. Then select Other install options and choose the Office offline installer — this downloads a full disk image you can copy to the offline machine.
- Business and enterprise plans: Use the Office Deployment Tool (ODT). Download the ODT on an internet-connected PC, create a configuration XML file, then run
setup.exe /downloadto pull the installation files into a folder. Copy to the offline PC and runsetup.exe /configure. Microsoft publishes an official guide for this workflow.
Either way, the offline machine must connect to the internet at least once after installation to activate Office and receive updates.
Getting Started
- Sign in once, stay activated. Office checks your subscription periodically. As long as you sign in with the licensed account and renew on time, the apps stay activated.
- Learn the ribbon. Word, Excel, PowerPoint, and Outlook share the same tabbed ribbon layout. Once you know where Home, Insert, Review, and View sit in one app, you know them in all of them.
- Use AutoSave and OneDrive. Files saved to OneDrive save continuously and sync across devices. This is one of the main practical differences between a subscription and a perpetual licence.
- Install on your other devices. A Personal subscription allows Office on up to five devices for one person; Family allows each of up to six people their own installs.
- Try Copilot if you have Premium. Microsoft 365 Premium includes Copilot in the desktop apps, along with Defender security and Clipchamp. If you are on Personal or Family, Copilot is available as an add-on.
- Manage your subscription. Go to account.microsoft.com/services to renew, change plans, or turn off recurring billing.
- Keep it updated. Office updates itself by default. If something breaks, File → Account → Update Options → Update Now forces a check.
Free Alternatives to Microsoft Office
If you do not need Microsoft's ecosystem, several genuinely free office suites cover the same ground:
- LibreOffice — a full, free, open-source desktop suite with Writer, Calc, Impress, Draw, Base, and Math. Opens and saves Word, Excel, and PowerPoint formats, requires no account, and runs entirely offline. The closest free equivalent to the desktop Office apps.
- Google Docs, Sheets, and Slides — free, browser-based, excellent for real-time collaboration. Trade-off: requires a Google account and is cloud-first rather than desktop apps.
- ONLYOFFICE — free desktop and online suite with strong Office format compatibility and collaborative editing that suits teams.
- SoftMaker FreeOffice — lightweight free desktop suite (TextMaker, PlanMaker, Presentations) that runs well on older hardware.
- WPS Office — free suite with a modern interface and cloud sync, though some features are behind a paid tier.
None of these are identical to Microsoft Office. Complex documents with macros, advanced Excel features, or deep Outlook integration may still require the real thing. But for everyday writing, spreadsheets, and presentations, a free suite is often enough — and it avoids both the subscription and the risk of downloading pirated software.
Useful Tips
- ⚠️ There is no free full Office download. Microsoft does not give away the desktop apps. Any site offering "Office 2026 free download" or a cracked installer is distributing malware or pirated software. The only official sources are
microsoft365.com,m365.cloud.microsoft, andaccount.microsoft.com. - 🆔 Use the account you bought with. The most common installation failure is signing in with a different Microsoft account than the one that holds the licence. If "Install apps" is missing, you are almost certainly signed in to the wrong account.
- 🔄 Family members need invitations. A Family subscription does not automatically cover everyone — the primary subscriber must invite each person, and each person must accept the invitation before installing Office.
- 💾 Know what Basic includes. Microsoft 365 Basic sounds like an Office plan but is not: it gives you 100 GB of storage and no desktop apps. If you need Word and Excel on your PC, Basic will not do it.
- 📉 Watch the OneDrive pooling change. New Family and Premium subscribers now share a single 2 TB pool rather than 1 TB per person. Existing subscribers are moved to the new model at their first renewal on or after 2 May 2027, with no price reduction.
- 🍎 Check your macOS version first. Office for Mac now requires macOS 14 Sonoma or later for new installs and updates. If you are on Ventura or older, you will be stuck on an unsupported build with no security updates.
- 🖥️ Try Office on the web before subscribing. If your needs are modest, the free browser versions at
microsoft365.commay be enough. It costs nothing to test whether you actually need the desktop apps. - 🧹 Uninstall old Office first. Installing a new Microsoft 365 version over an old standalone Office 2016/2019 installation can cause activation conflicts.
- 🛡️ Enable 2FA on your Microsoft account. Your Microsoft account holds your Office licence — two-factor authentication is the single best protection against losing access.
Microsoft 365 vs Office Home 2024 vs LibreOffice
- Microsoft 365 (subscription): $99.99/year (Personal), $129.99/year (Family), or $199.99/year (Premium). Full desktop apps, OneDrive storage, Copilot and Defender (Premium), regular feature updates, multiple device installs, Office on the web. Best for users who want the latest features and cloud storage integrated into Office.
- Office Home 2024 (perpetual): One-time purchase at $149.99 (Home) or $249.99 (Home & Business, adds Outlook and commercial-use rights). Word, Excel, PowerPoint, and OneNote — no cloud storage, no Copilot, no feature updates after purchase. Best for users who want to pay once and never again.
- LibreOffice (free): Free, open-source desktop suite. No subscription, no account, no cloud lock-in. Excellent Office format compatibility for most documents. Best for users who want a complete desktop suite without paying anything.
If you need the full Microsoft ecosystem and cloud storage, Microsoft 365 is the right choice. If you want to pay once and skip the cloud, Office Home 2024 works. If you want free and offline, LibreOffice is the best alternative.
Troubleshooting Common Issues
- ❌ "Install apps" is missing on the Apps page. You are signed in to the wrong Microsoft account, or your subscription has expired. Sign out and sign back in with the account that owns the licence. Check at account.microsoft.com/services.
- ⏳ Installer hangs or won't complete. Temporarily disable antivirus and firewall, then retry. Some security software flags the Office installer's background service. If it still fails, download the offline installer instead of the streaming version.
- 🔑 "Product deactivated" or "subscription expired" message. Sign in again with the licensed account — Office sometimes loses the activation token after a Windows update. If it persists, check that your subscription is still active at account.microsoft.com/services.
- 🧹 Old Office version conflicts. If you have Office 2016 or 2019 installed alongside Microsoft 365, uninstall the old version first. Running both causes activation conflicts and app shortcuts to break.
- 💾 Not enough disk space during install. The installer needs more than just the 4 GB final size — it downloads and unpacks temporary files. Free up at least 8 GB before starting.
- 🖥️ Office apps won't open after Windows update. Run File → Account → Update Options → Update Now in any Office app. If the apps won't open, repair Office from Windows Settings → Apps → Microsoft 365 → Modify → Quick Repair.
- 🍎 Office won't update on an older Mac. Microsoft 365 and Office 2024 for Mac now require macOS 14 Sonoma or later for new installs and updates. Ventura (13) is limited to the older 16.101 build with no security updates, and Monterey (12) and earlier are unsupported. Upgrade macOS, or use Office on the web / LibreOffice on older hardware.
- 📉 OneDrive storage shrank after renewal. If you are on a Family or Premium plan renewed on or after 2 May 2027, your pooled storage is now 2 TB shared rather than 1 TB per person. Microsoft did not reduce the price. Check the official "Changes to Microsoft 365 storage" support page, and consider storage add-ons if you need more.
